Administration Officer

Salary: Up to £12.38 per hour
Location: St. Helens

 

Job Description
We are seeking a friendly and organised individual to provide administrative and reception support to Whiston Hospital's Assessment Team and its service users.

Key Duties

  • Responsible for accurate data entry onto service-specific IT systems, ensuring confidentiality and security of information.
  • Act as the first point of contact for service users, contractors, and professionals, responding to anticipated and unanticipated queries both in person and over the telephone.
  • Provide administrative support to the Assessment Team, managers, and multi-agency partners, including preparing communications, booking rooms, photocopying, and ordering/receiving stationery and other equipment as required.
  • Efficiently organise and coordinate internal, external, and multi-agency meetings, including preparing and sending out agendas, booking rooms, taking notes or minutes during team meetings, distributing them, and following up on any actions.
  • Handle financial transactions including placing orders, goods receipting, processing invoices and non-POs, reconciling credit cards, handling and reconciling petty cash, preparing for banking, and managing related enquiries.
  • Support the Assessment Team in creating, developing, monitoring, and updating service delivery activities via spreadsheets to inform service planning and performance.
  • Provide sensitive and empathetic support to service users who, due to their circumstances, require a considerate approach.
  • Provide Information, Advice, and Guidance on Hospital and Trust-wide services, with a focus on the Assessment Team, including maintaining associated digital platforms, social media, and other communication channels.
  • Be aware of the diverse needs of the community, responding appropriately to service users where English is an additional language.
  • Undertake any other duties and responsibilities as may be assigned from time to time, which are commensurate with the grade of the post.
